Optional referral program

When you open a referral link, a first-party cookie remembers its code for 30 days. We associate that code with your adult account at signup, or retain it with your teacher application until account creation. We store referral eligibility, class/payment verification and reward records to operate the program and prevent abuse. Referrers see reward status, not your name, contact information or lesson details. See /referrals for reward rules and contact support to exercise your privacy rights.

Information and sources

We collect information provided by adult learners, parents, guardians, instructors, applicants, and references: account identity and contact details; a learner’s preferred name, age or grade band, goals, time zone, bookings, and session records; instructor legal identity, experience, credentials, references, portfolio, availability, rate, and application responses; and support or safety communications. Authentication, hosting, device, security-log, payment-status, and transaction identifiers come from our service providers. We do not store full payment-card numbers.

Purposes and legal grounds

We use information to authenticate users; match and deliver lessons; manage schedules, payments, records, instructor review, support, safety, fraud prevention, accessibility, legal compliance, and service reliability; and communicate about the requested service. Depending on location, our grounds are contract, consent, legitimate interests, safety, and legal obligations. We do not sell personal information or use learner information for targeted advertising.

Public instructor profiles

After approval, an instructor’s privacy-protective display name, headline, bio, approved subjects, audience, languages, rate, availability summary, completed-session totals, and verified-review aggregates may be public. Legal name, contact details, identity documents, references, private review notes, and application evidence are not public. Instructors may request profile correction or pausing.

Children and guardians

Only adults may create accounts. A parent or legal guardian manages every learner under 18. Parents may prepare a learner profile using a preferred first name and age group. Under-13 lesson requests and paid bookings are blocked until the Academy releases its parental-verification process and records verified parental consent. An account checkbox or payment alone is not verification. Children must not submit information or join lessons before the required safeguards are complete. See the Children’s Privacy Notice.

Service providers and disclosures

Service-provider disclosure updated September 13, 2026. The Vercel deployment uses Vercel for application hosting and Turso for database storage. Cloudflare provides domain/DNS services and continues to support the previous hosting, database, and scheduling infrastructure during migration. Firebase provides account authentication. Google Workspace, including Gmail, Calendar, and Google Meet, processes service emails, invitations, participant contact details, schedules, and meeting information. Stripe processes learner checkout and payments. Instructor payments are sent manually through PayPal; the Academy records the payout email and payment reference, not bank-account credentials. Instructors receive the information needed for booked lessons. Additional learning-tool or verification providers must be assessed before use, with notice and consent where required. We may also disclose information to protect a person, investigate fraud or misconduct, complete a business transaction with appropriate safeguards, or comply with law.

AI tools, meetings, and recordings

During the pilot, lesson recording, public sharing of minor learners’ work or images, and entering their personal information into AI tools are not permitted. Use fictional examples and teacher-controlled demonstrations. Tool names on the website are examples, not approval for a child to create an account. Follow each provider’s age and account rules. Teachers must never ask for a learner’s passwords, API keys or personal payment account. The platform cannot prevent external screen recording or copying; suspected misuse must be reported promptly.

Cookies and technical information

We use essential storage for preferences such as language and providers may process IP address, device, browser, request, authentication, and security logs. We do not currently use behavioral-advertising cookies. If optional analytics or advertising technology is introduced, this notice and any legally required controls will be updated before activation.

Retention

We retain information only for the specific service, safety or legal purpose that requires it. Retention is reviewed manually; this pilot does not run an automatic deletion service. Routine session notes, inactive learner profiles and rejected applications are reviewed at least every 90 days for deletion or de-identification when no longer necessary. Financial and tax records may need longer retention, typically up to seven years where required; this does not justify retaining all child or teaching data for that period. Legal holds must identify the records and reason. Verified deletion requests include a separate review of relevant service-provider copies and backups. Request access or deletion in your account or through support.

Security and incidents

We use access controls, role-based administration, encrypted provider connections, payment-token separation, logging, and review procedures appropriate to the information. No system is perfectly secure. We investigate suspected incidents, limit harm, preserve evidence, and notify affected people and authorities when required by law.

Privacy rights and appeals

Depending on applicable law, you may request access, correction, deletion, restriction, objection, portability, consent withdrawal, or information about collection and disclosure. You may use an authorized agent where law permits and may appeal a denied request by replying with “Privacy Appeal.” We verify identity and guardian authority. We do not discriminate for exercising privacy rights. We do not currently sell or share personal information for cross-context behavioral advertising.

International use and updates

Information may be processed where our providers and instructors operate. Where required, we use contractual or other lawful transfer safeguards. We will post updates with a new effective date and provide additional notice when a change materially affects rights or use of information.
